1. Log in as an Administrator or A Manager with Permission to access the Directory and Settings

2. Select Directory from the black ribbon.

3. Select the ADD Employee button to create a new employee record.


4. A page opens for initial employee details which will become Summary tab after employee is created

Note all fields that are marked as * are essential.
A unique email address for each employee is always required as this is their unique identifier for them on our system.

The employee can be either ‘A Regular Employee’, ‘A Manager’ or ‘An Administrator’. An Administrator automatically gets all permissions assigned to their account unless the box for ‘Hide Comps & Bens’ is selected. This option will prevent the administrator from seeing data relating to the employee’s salaries and benefits.

There is also the option for selecting a Primary Administrator. There must be One and only One primary administrator for each account. In the event of a change of roles, the old primary administrator must select the replacement primary administrator before leaving that role.

5. Fill in the details for your new employee

(Note, the enable timesheets option or the Send invite now option are not mandatory, and both can be activated later via the Settings tab and Summary tab respectively)

6. Click submit, and the employee's record is created.

7. The tabs will appear, and all other relevant information can be recorded.

4. Comps & Bens  (optional tab, can be turned on or off at office level)

SUMMARY

Most of the data on this page will be completed from the previous step. From this screen you can send or resend the invitation email. This can be done now, or the admin can wait until the profile is fully created.

PERSONAL

This page is for the personal details of the employee. Either the admin can complete these fields or the employee can complete much of this themselves when they receive their invite email. However, only the admin can complete the options for the following.
• ‘Send Birthday Reminder to Employees Manager’
• “Disable photo upload for this user”
• “Visa required”

Terms of Employment

Comps & Bens

This screen is completed by an administrator if the option for ‘Comps and Bens’ is selected for the employee’s office in the administrators settings tab (separate document in the training menu). 

Reviews and References

On this screen you can set the employee's review cycle. If you select a review period, this will automatically populate the employees next review date based on their start date. This date can be ammended at any time based on your business requirements.

SETTINGS

PERMISSIONS

Permissions are dependent on the category of employee defined in the employees Summary tab. The employee can be either ‘A Regular Employee’, ‘A Manager’ or ‘An Administrator’.  For Administrators there is no Permissions tab.

8. Paul can now be seen on the directory.

9. The admin can invite the new employee, 

Do this by selecting the INVITE link listed in orange if this step has not already been completed. This will generate an email to the employee inviting him/her to log in and update their password. See below:

Please ensure you select the SUBMIT button after reviewing the sample email.


10. Paul clicks on the link, enters his email and the temporary password to gain access.
