What is TOIL?

If your company is on our Professional package or above, you will have the option of turning on our Time Off in Lieu system for your employees

TOIL works in conjunction with our timesheets and it can be used to allow some flexibility in your workforce to allow your employees to work additional hours when they are needed, and then take that time off in lieu of overtime payments.

How to turn on TOIL in HRLocker

You can turn on TOIL for all employees at an office, or just for individual employees

Office level 

  1. Log into HRLocker as an Admin
  2. Click on the Settings Button on the black ribbon
  3. Click on the 'Offices' button on the green ribbon
  4. Next to an office, click on the 'Settings' button
  5. In the settings dropdown, click on 'Time Off'

To turn on TOIL at an employee level

  1. Log into HRLocker as an Admin
  2. Locate the employee in the directory and click 'View'
  3. Click on the Settings Button on the Green ribbon
  4. Ensure Timesheets are enabled for this employee
  5. Tick the box to enable TOIL


Turning on TOIL at an employee level offers an additional setting that is not available at Office level. The ability to allow Negative Toil


How does TOIL work as Flexi-Time on HRLocker?
To use TOIL you need to make sure you configure the standard working week and the standard working day for your employees.

TOIL usually works alongside Timesheets. 

In the office or Employee settings, you can configure what a standard working week for your employee is. 

If your employee submits a timesheet with more hours than this standard working week, when this is approved, the surplus hours will be automatically applied to that employee's TOIL balance.

If 'Allow Negative TOIL' is activated, when the employee submits a timesheet with fewer hours than were configured in the 'Standard working week', then the shortfall in hours is deducted from their TOIL balance.

Example 1  

  • My Standard working week is 35 hours
  • My timesheet records 37 hours for this week
  • When it is approved, My TOIL balance will increase by 2 hours

Example 2

  • My Standard working week is 35 hours
  • My timesheet records 32 hours for this week
  • When it is approved, My TOIL balance will decrease by 3 hours

Employees, Admins and managers can also view a record of all the adjustments, and balances in the Log at the bottom of the page

In this way, you can use TOIL as a flexi-time system to allow everyone to keep track of the hours your employees are working and allow them to organically adjust their working week to maximise their time.

If an employee builds up a lot of TOIL and wants to book time off, they can request leave using a designated TOIL leave type
